Contract period: 6 weeks, from mid-August to end of September (must be available 25-27 September for camp out)

Fee: £550 flat fee (equates ~40 hours at Real Living Wage – £13.45 p/h)

Roll Models CIC is a cycling mentorship community for women and marginalised genders, built around the belief that getting outside, riding bikes and doing slightly ridiculous things together can change how we see ourselves and what we think we're capable of.

This September, we're bringing our community together for an end of season Camp Out: a weekend of bikes, adventure, camping, good food, new friendships and time in nature.

We're looking for an organised, hands-on, proactive and enthusiastic freelancer to join us from mid-August to help bring the whole thing to life. This role would suit someone who is excited to support a fledgling community organisation, and passionate about inclusive spaces in the outdoors. You'll be at the heart of the planning, working alongside the Roll Models team and community to make sure all the details are in place – and you'll get to experience the event from the inside too!

What you’ll be doing

Working alongside Athlyn (Roll Models’ director), you'll take ownership of the practical planning and coordination needed to make the Camp Out run smoothly, including:

  • Keeping the whole project moving: maintaining a clear event plan, deadlines, actions and responsibilities, and making sure nothing important gets forgotten (event plan already in place).

  • Making the logistics happen: coordinating the campsite, suppliers, catering, equipment, activities and all the other details that turn a good idea into an actual weekend.

  • Spreading the word: creating content to share on our social channels to generate ticket sales and share information.

  • Getting everyone ready: helping create and send participant information, including what to bring, where to go, travel information, timings and what to expect.

  • Working with our brilliant people: coordinating suppliers, ride leaders, mentors, volunteers and partners so everyone knows what's happening and when.

  • Building the weekend: helping shape the schedule and running order so there's a great balance of riding, adventure, food, downtime, community and campfire hangs.

  • Making sure we're prepared: supporting risk assessments, contingency planning and the practical details that allow everyone else to relax and enjoy themselves.

  • Being part of the Camp Out itself: joining the Roll Models community for the weekend, getting stuck into rides and activities, camping alongside everyone else and helping make the event feel welcoming, fun and memorable.

  • Wrapping things up: supporting with feedback, follow-up and any final actions after the event, with the project complete by 30 September.

Key dates

  • WB 17 August: Project begins / onboarding

  • Weekly check-ins with Roll Models

  • 15 September: Optional site visit

  • 9 September: Event plan finalised

  • 18 September: Participant information and final logistics finalised

  • 25-27 September: Camp Out

  • 30 September: Contract ends / final deliverables completed

Working arrangements

We’re looking for someone who will:

  • Work independently and manage their own time to meet the agreed deliverables and deadlines.

  • Attend weekly (1-hour) planning meetings / check-ins with Roll Models.

  • Communicate with Director primarily via Email and WhatsApp 

  • Have access to Heylo – the platform Roll Models uses for ticket sales and communicating with our cohort

  • Flag any risks, delays, additional costs or decisions required from Roll Models as soon as possible.

  • Work within the agreed project budget and obtain approval before committing Roll Models to any additional expenditure.

Estimated time commitment: Roughly 10-12 hours per week (over 5 weeks), with roughly 20-hours spent coordinating the Camp Out itself. We are open to discussion, and this is very flexible provided deliverables are met.

Responsibilities and decision-making

The freelancer will be responsible for planning and coordinating the camp out, but final decisions relating to budget, programme, safeguarding, participant eligibility, significant supplier commitments and changes to the event will remain with Roll Models CIC.

The freelancer does not have authority to commit Roll Models to expenditure or contractual arrangements without prior approval.

Fee and payment

Roll Models CIC will pay the freelancer a flat fee of £550 for completion of the agreed deliverables. Payment will be made 50% on commencement and 50% on completion against an invoice. Travel, food and accommodation costs for the camp-out will be covered by Roll Models.

The fee includes all work reasonably required to deliver the agreed scope. Any work materially outside this scope must be agreed in writing in advance and may be subject to an additional fee.

What we're looking for

We're looking for someone who is:

  • Is exceptionally organised and loves turning a slightly chaotic list of ideas into a clear plan.

  • Is proactive – you see what needs doing and get on with it.

  • Is warm, friendly and great with people.

  • Can confidently coordinate lots of moving parts without losing sight of the bigger picture.

  • Is calm when things inevitably change or go slightly sideways.

  • Communicates clearly and reliably.

  • Is excited by being outdoors and getting involved, rather than just coordinating from the sidelines.

  • Shares Roll Models' values around community, accessibility, adventure and creating spaces where people can try something new.

  • Has experience with events, outdoor projects, cycling or community activity (desirable, but not essential).
